It's the Hours

Bid Everything Worth Winning

Your team can win these jobs. They run out of hours before they run out of skill. ScalaBid produces the full Submission Package for every opportunity, so capacity stops deciding which bids you pursue.

Bid volume
TodayYou decline winnable jobs every month because the team cannot document them all before the deadline.
With ScalaBidEvery qualified solicitation gets a complete Submission Package, so you pursue 3-5x the bids with the same estimators.
Disqualification risk
TodayOne missed form or unaddressed spec can disqualify 80 hours of work on a technicality.
With ScalaBidWe check every page and spec against a compliance matrix before delivery, and fold in any late addendum or scope change, so a missed form or buried requirement never disqualifies your work.
Estimator time
TodaySenior estimators lose 40-80 hours per bid to writing, formatting, and chasing attachments.
With ScalaBidDocumentation leaves their plate entirely. Their hours go back to scope, pricing, and the relationships that win work.
Cost to grow
TodayMore volume means another hire: $160k-$220k loaded, 6-12 months to ramp, fixed in every slow quarter.
With ScalaBidCapacity becomes variable: $833-$1,800 per bid, delivered in 72 hours, starting in days.

Internal bid documentation consumes 40-80 hours per submission for U.S. general contractors. Every one of those hours is a reason a winnable bid gets declined.

Addendum A

Net Profit Returned by Plan

Annual recoverable profit minus plan cost, plotted against contract value. Hover any point for the dollar amount on each plan and its ROI multiple. The line above your current plan is the “or upgrade” alternative at the same contract value.

Annual recoverable profit (after plan cost)

How this is calculated

1. Expected profit per recovered bid

Contract value x 5% margin x 20% win rate = expected profit you forfeit each time you no-bid.

2. Bids each plan actually recovers

Core caps at 3/mo, Scale at 6/mo, Elite at 10/mo. Elite uses Bundle overflow above 10/mo; Core and Scale’s lines reflect what they can recover at their cap, so the next-tier line above each one is the “or upgrade” alternative.

3. Net profit returned

Annual recoverable profit minus plan effective cost (plan annual + Bundle overflow on Elite). The breakeven line is where the plan exactly pays for itself; the tooltip also shows the ROI multiple at every point.

Plan costs use monthly billing rates. Annual billing lowers these costs, improving actual return. Each plan’s line is annual recoverable profit minus that plan’s annual cost, capped at the plan’s monthly capacity (Core 3, Scale 6). Elite’s line uses Bundle overflow above 10/mo so it scales with your full pursueable volume. Hover any point to compare net profit and ROI across plans, and to read the “or upgrade” alternative as the line above.

Addendum B

Beyond the P&L

The figures above are direct revenue and profit. The cost of declining bids compounds in places the income statement does not show.

Up to 90%

Incumbent win rate

Every declined bid is a relationship a competitor starts and keeps for the next 3 to 5 years.

Backlog lag

Capacity constraints today surface as visible backlog pressure 6 to 18 months later. By the time it is measurable, the owner conversations are already lost.

The skew of declined bids

Declined bids cluster on highest-value, highest-documentation projects. Capacity bites hardest on the bids that would have moved the year.

Why Submission Rate Is Your Highest-Leverage Variable

Six patterns you have already encountered in your own pipeline. None get solved by another seat license, another hire, or a different price point.

Submission rate compounds. The lag runs 18 to 24 months.

Bids you decline this quarter affect your win pipeline two years from now. Owners shortlist on prior-bid quality. Sub-relationships strengthen with frequency. Surety capacity tracks bid volume. A capacity dip in 2026 reads on the P&L in 2028.

We keep the rate up before the lag becomes visible.

Hi [first name], Wanted to put this on your radar before our next bid cycle. Two-page brief on ScalaBid: https://scalabid.com/assets/scalabid-executive-summary.pdf They write the full bid response for us in 72 hours, the work our estimators are buried in and the reason we keep walking away from qualified bids. The cost is a per-bid variable we can turn up or down by month, not a hire and not software. I think it's worth testing on a single bid before we commit to anything. Take a look and tell me what you think. Thanks, [your name]

Common Questions

ScalaBid converts U.S. construction solicitations into review-ready ScalaBid Submission Packages in 72 hours. It allows contractors to submit on every viable opportunity and removes team capacity constraints. Estimators receive a draft proposal, compliance map, drawing index and action checklist to just review, price and submit.

We work with U.S. construction firms who need to expand bid capacity without adding headcount.

Four deliverables, every time: your bid drafted and tailored to your company profile and this specific solicitation; a compliance matrix mapping every requirement to where it's addressed in the bid; a checklist of what only your team can source or sign before submission, with the solicitation reference and urgency for each item; and a structured drawing index your estimators and subcontractors can use directly. ScalaBid does not produce, fill, or sign procurement forms, government-standard forms, insurance certificates, bonding letters, or DBE participation forms. Those are listed alongside the rest of your share.

ScalaBid handles any formal solicitation with narrative, compliance, and documentation requirements. This includes hard bids, RFPs, RFQs, and design-build solicitations from federal, state, municipal, and institutional procurement portals. ScalaBid does not handle bids that consist only of a price sheet with no narrative.

Standard delivery is 72 hours from the moment we receive the complete bid documents, including the solicitation, all addenda, and any appendices. Rush 24-hour delivery is available for an additional $629 per bid. The clock starts when we have everything we need.

Internal bid documentation costs $3k-$10k+ per bid, based on 40-80+ hours of estimator time at $80-$120 per hour fully loaded. ScalaBid costs $833-$1,800 per bid depending on the plan. The savings are $1,000-$4,000 or more per submission. At 3 bids per month, that is $36k-$144k per year in recovered estimator time before any increase in bid volume is factored in.

Consultants charge hourly and scale with your pipeline. ScalaBid delivers a fixed Submission Package per solicitation with consistent quality, compliance matrix, and turnaround, designed to integrate with the estimating team's existing workflow.

Every plan includes 3 revision rounds per bid. Additional revision rounds are available as add-ons.

Pay As You Go is designed for companies that want to test the service or handle overflow on a single bid at $1,800 with no commitment. If your team regularly submits 3 or more bids per month and is declining additional opportunities due to capacity, the Core plan reduces your per-bid cost to approximately $1,250. A one-time $500 onboarding fee applies to subscription plans only.

ScalaBid removes the documentation bottleneck by producing complete ScalaBid Submission Packages externally. Your estimating team stops writing proposals and starts reviewing them. Documentation time drops from 40-80 hours per bid to 1-2 hours of review. The same team can pursue 3-5x more opportunities.
